Outdoor Wedding

I am having a wedding outdoors in July 2003 at a Victorian home in the back yard. It has a veranda and enough room for up to 300 people on the lawn area. My question is how should I go about setting up for the reception? Should the tables already be set out over to the side? Should they already have the linen on them? Please tell me how should I go about setting up the reception?
