Birthday/ Going Overseas

HELP!!!! Me and roommates are having a get together for our friend, she is leaving and its her b-day. There be friends, co-workers from all our jobs, family, we will be serving alcohol and bb-que. I need some ideas on how to pull this off rather cheap, where no body gets bored and our guest of honors remembers the night.
